Terms and Conditions

1. Promotions

By registering for this event, the registrant acknowledges that the AARC may offer future promotions which may yield lower registration fees than those paid in the current transaction. The registrant enters into this agreement knowing this risk and understands that should that happen; refunds will not be issued for the difference.

2. Cancellation and Substitution

No cancellations are accepted once any registrant has printed a badge and or accessed the Event networking or partnering facilities, applications or platforms. You acknowledge that the refund of your fees in accordance with Condition 2.1 or 2.2 is your sole remedy in respect of any cancellation of your registration by you and all other liability is expressly excluded.

2.1 Cancellation Protection

AARC Congress 2022 cancellation protection may be purchased for the 3-Day Registration for $37 at the time of registration only. Those purchasing this option may cancel for any reason and receive a 100% refund. Protection covers the total amount paid for AARC Congress 2022 registration fees and any other meeting add-ons. Cancellation protection is not available for Single Day, Senior, or Student registrants. Registration and cancellation protection must be purchased together.

2.2 Cancellation Fee

A written cancellation and refund request is required via email. Emails must be dated no later than 11:59 p.m. on the dates listed below. No refund requests will be accepted after these dates. Refunds will be processed after the meeting. Send request to aarc@xpressreg.net.

2.3 Substitution Policy

Registrations for those unable to attend may not be applied to a future year’s meeting. Registration transfers for non-members are permitted with a paid administrative fee of $35. If the substitute is an AARC member, payment of the difference between the member and non-member fees will be refunded. Substitution requests must be submitted in writing by Friday, Nov. 4, 2022, and sent via email to aarc@xpressreg.net. You may not purchase registrations as agent for any third party, sell or otherwise transfer your registration to others, or exploit the registration commercially or non-commercially in any way.

3. Access to and Use of an online Event Platform

3.1 You undertake to be responsible for any technical requirements needed to enable you to access the Event website, app or other platform made available by AARC to facilitate participation in the Event (the "Event Platform").

3.2 We do not guarantee that the Event Platform will operate continuously, securely or without errors or interruption, and we do not accept any liability for its temporary unavailability. We do not guarantee that the Event Platform and/or any content thereon (including, without limitation, any content available for download) will be free from viruses, infections, Trojan horses, worms and/or any other code that has contaminating or destructive properties.

3.3 You must not attempt to interfere with the proper working of the Event Platform (for example, by attempting to circumvent security or tamper with or hack into or otherwise disrupt any computer system, server, website, router or any other internet connected device).

3.4 You agree to comply with any website terms of use and/or fair or acceptable use policies indicated on any website on which the Event Platform is hosted.

We do not endorse or accept any responsibility for the content, or the use of, any goods or services that may be identified or described on the Event Platform and we shall not be liable for any loss or damage caused or alleged to be caused by or in connection with use of, or reliance on, any content, goods or services available on or through the Event Platform or any website or other resource referenced therein.

3.5 AARC may issue you with a username and password. Usernames and passwords are confidential and remain the property of AARC at all times and may not be sold, assigned or transferred to any third party without our permission. Your username and password are personal to you. You hereby agree that you will not permit others to use your username or password and you will be and remain liable for the acts of any person using your username and password.

3.6 Any posts, messages or other materials, information or data you supply or upload to the Event Platform (collectively, “Materials”) will be considered non-confidential and non-proprietary, and we have the right to use, copy, distribute and disclose to third parties any such Materials for any purpose. You hereby waive any moral rights in any Materials to the extent permitted by applicable law. We reserve the right, at our sole discretion, to edit or remove postings to any message boards on the Event Platform and delete or use electronic methods to block or filter any Materials at our discretion, but we do not have any obligation to do so.

3.7 You shall not make libelous postings or any postings which are illegal or infringe the intellectual property rights of any third party. AARC will not be responsible for monitoring Materials for compliance with law.

3.8 You may use the Event Platform solely for access to the Event. Without limitation, you must not: (i) download, store, reproduce, transmit, display, copy, distribute, exploit or use the Event Platform and/or any content thereon for your own commercial gain, (ii) use the Event Platform and/or any content thereon in any manner other than in compliance with law and these terms and conditions, (iii) infringe our intellectual property rights or those of any third party in relation to your use of the Event Platform and/or any content thereon, (iv) transmit, or procure the sending of, any unsolicited or unauthorized advertising or promotional material or any other form of similar solicitation, and/or (v) knowingly transmit, send or upload any data that contains viruses, infections, Trojan horses, worms and/or any other code that has contaminating or destructive properties viruses.

3.9 AARC is under no obligation to oversee, monitor or moderate any interactive service we provide on the Event Platform and, without limitation, we expressly exclude all liability for any loss, injury or damage whatsoever arising from the use of any interactive service by any user, whether the service is moderated or not.

4. Code of Conduct

The American Association for Respiratory Care (AARC) is committed to providing a professional, friendly, safe and welcoming environment for all participants at its meetings, regardless of gender, sexual orientation, disability, race, ethnicity, religion, national origin or other protected class.

This Code of Conduct may be revised at any time by the AARC and the terms are non-negotiable. Your registration for, or attendance at, any AARC event indicates your agreement to abide by this policy and its terms. Unacceptable behavior will not be tolerated during any portion of a meeting or event.

Unacceptable behavior includes but is not limited to:

  • Intimidating, harassing, abusive, discriminatory, derogatory or demeaning speech or actions.
  • Harmful or prejudicial verbal or written comments or visual images related to gender, sexual orientation, race, religion, disability or other personal characteristics, including those protected by law.
  • Inappropriate use of nudity and/or sexual images.
  • Real or implied threat of professional or financial damage or harm.
  • Disruption of presentations during sessions, in the exhibit hall, or at other events organized by AARC throughout the meeting. All participants must comply with the instructions of the moderator and any AARC event staff.
  • Presentations, postings, and messages should not contain promotional materials, special offers, job offers, product announcements, or solicitation for services. AARC reserves the right to remove such messages and potentially ban sources of those solicitations.

Reporting Harassment to the AARC:  If you see, overhear or experience a violation of the Code of Conduct during a event, and would like to report a violation, please email AARC staff at aarc@xpressreg.net.

5. Photography/Video

5.1 No individual or entity other than the AARC may record (audio or video) any portion of AARC Congress 2022 for any purpose without the prior written consent of the AARC.

5.2 Digital photos of PowerPoint slides are prohibited. All presented content is the intellectual property of the lecturer. Presenters (at their discretion) may choose to share their slide deck via the mobile event app, otherwise requests for slide decks must be made directly with the presenter.

6. Consequences for Breach

AARC may (at its sole discretion) refuse access to, or eject/block from the Event, any person in its absolute discretion, including (without limitation) any person who fails to comply with these terms and conditions or who in the opinion of AARC represents a security risk, nuisance or annoyance to the running of the Event. You agree to comply with all reasonable instructions issued by AARC or the venue owners or operators at the Event.

7. Privacy and Personal Information

AARC (and any third-party provider acting on our behalf) will use your personal information provided during the registration process to host and manage this digital event, and for analyzing visitor traffic with a view to improving the event experience for visitors.

During registration, you may have chosen to withhold permission to share your data with third parties (I.e. sponsors & exhibitors), however when entering a exhibition booth, downloading sponsor content, or attending a sponsor session, your personal information will be shared with the exhibitor or sponsor to allow them to engage with you. If you accept or initiate a connection or meeting invite, then your full contact details (name, employer and email provided in your profile) will be shared directly with the exhibitor or sponsor and they may follow-up and use your details for marketing purposes.

The AARC may, at its discretion, use comments or feedback left by attendees for promotional and marketing purposes. All room content becomes the property of the AARC. By registering for this event, you hereby grant the AARC permission to use your comments/feedback for these purposes.

8. Exhibitors (Marketing & Solicitation During the Meeting)

8.1 Solicitation for products or services may only take place in the exhibit hall. Solicitation in session rooms is strictly prohibited.

8.2 Only confirmed exhibitors may solicit products or services to meeting attendees or other exhibitors. Registered attendees are not permitted to solicit to other attendees or exhibitors.

8.3 Exhibitors must confine their solicitation activities in the exhibit hall with their booth space. Suitcasing is strictly prohibited.

8.4 No one under the age of 18 (eighteen) will be allowed in the exhibit hall.
