The rules/regulations below will be enforced so that all exhibitors can operate efficiently. It is the responsibility of the applicant, whose authorized signature appears on the application/contract, to be sure that his/her staff are aware of the AARC show rules and adhere to them. The AARC reserves the right to close an exhibit, to revoke priority points, and to deny future application for exhibit space to any exhibitor who fails to adhere to these regulations.

  1. At least one representative from each exhibiting company must be present in the assigned booth location during exhibit hours.
  2. Exhibiting companies shall limit all AARC convention-related activities to their assigned exhibit space at the Las Vegas Convention Center. The design of your booth or island should be such that visitors can discuss your products or services within your location without blocking traffic flow in the aisle.
  3. Prize awards, drawings, or contests of any kind are expressly prohibited on the exhibit floor. Entries may be completed within your booth with the actual drawing held elsewhere, i.e., in your hospitality suite. An announcement of the winner(s) may be discreetly posted within your booth location.
  4. Promotional or giveaway items must cost under $25 per item.
  5. The Las Vegas Convention Center prohibits the use of helium filled balloons smaller than 36" in diameter. See the Convention Center policy regarding advertising, banners, signs and graphics. AARC has authorized the Center to bill any exhibitor for cleanup charges incurred from failure to comply with these regulations.
  6. The use of refreshments or other products intended for consumption in your booth must be pre-approved by the AARC. A written request must be submitted to Annette Phillips prior to December 1. Products must be obtained through ARAMARK, the official Convention Center Concessionaire. Once your request has been approved, you will deal directly with a representative from ARAMARK.
  7. Loud audiovisual or mechanical equipment cannot be used in your booth. If a problem is reported, immediate correction will be expected.
  8. Each exhibitor has the right to refuse permission for photographs, video or still, to be taken of their booth location and contents. Please consult with your fellow exhibitors if you are photographing your own exhibit to be sure they are aware of your intentions.
  9. The AARC International Respiratory Congress is a nonsmoking show. Those who choose to smoke may use the designated smoking area. Smoking is prohibited within the lecture rooms, hallways, and the exhibit hall.
  10. Solicitation of accounts is prohibited by any person or company unless booth space has been purchased. Any solicitation must be conducted within your booth.

Hanging Signs
Hanging signs are only permitted for island exhibits with a minimum of 400sq. ft in size. Exhibit booth signs, banners, booth ceilings or canopies, lighting grids or other exhibit related equipment should be free standing and floor supported where possible. Attachment to Exhibit Hall ceiling banners or trusses is permitted only through Freeman, the official decorating company for the AARC International Respiratory Congress. Hanging signs or banners may not exceed 8 feet in width; island exhibits have a height limit of 16 feet and the top only of all hanging signs should be placed within this limitation. Requests for approval to hang signs or banners must be submitted to Freeman no later than 10 days before exhibitor move-in. A request form will be included in the Exhibitor Service Kit to be provided to all exhibitors by Freeman.
