Prices/Descriptions
Three of the four categories of booths (interior, corner, and priority)
are 10' x 10' with backdrape to eight feet, siderails to three feet, and come with a 7" x 44" sign listing the exhibitor name, city and state, and booth number. The booth structure is limited to eight feet in height and cannot extend further than three feet from the back wall. All corner booths must be masked, at exhibitor’s expense, to avoid unsightly appearances.

The exhibit space rental fee does not include: furniture, accessories, carpeting, audio-visual equipment, additional signs, or electricity. These items can be ordered from individual contractors using the forms provided in the Exhibitor Service Manual, which is projected to mail in September. All booths must be carpeted to show a more professional appearance. Booth requests for two or more booths must be in-line; peninsulas are not allowed.

Island
Must be accessible from all four sides. No drape or backwalls permitted. Island structure is limited to 16 feet in height.

Booth Assignment

  1. Assignment of space is based on the priority point system. One priority point has been accumulated for each 10' x 10' booth space rented over the last five years (from San Antonio in 2001 through San Antonio in 2005). The applicant with the highest number of priority points is assigned first, the applicant with the second highest is assigned second, etc. Companies with the same number of priority points will then be assigned by date their contract was received by AARC.
    Add priority points to your booth assignment by advertising in either AARC Times or RESPIRATORY CARE and receive bonus points by using our “Value-Added Advertising System.” For more information, contact Tim Goldsbury, Advertising Sales Director, at goldsbury@aarc.org, (561) 745-6793.
  2. In order for your priority points to be considered in your booth assignment, your application and deposit must be received by Monday, April 3, 2006. Applications receive after April 3 will be processed in date-received order without benefit of any accumulated priority points. Note: Typically, more than 80% of the exhibit hall will be filled by applications received prior to the deadline date, leaving only 20% of the exhibit hall available to those applying after the deadline.
  3. AARC reserves the right to assign an alternate booth location based upon the criteria filled in on the application. If choices one through four have already been assigned, the exhibits coordinator will make an alternate assignment. It is, therefore, critical that your application/ contract is completed in full.
  4. If we need to contact you regarding booth assignment and there is not a response from your company within 72 hours, we will proceed with the next company's booth assignment.
  5. Specific booth assignments are not final until confirmed in writing by the exhibits coordinator.
  6. Based upon the 2005 show, AARC projects that the exhibit hall will be filled by Friday, September 1, 2006.
  7. A waiting list for exhibit space will be maintained for those applying after the exhibit hall has been filled.

Payment Policies

  1. FOR APPLICATIONS RECEIVED BY NOVEMBER 1, 2006
    A deposit of 50% of the highest priced booth you requested must accompany this application. Forms received without a deposit will not be assigned a booth until deposit is received. Faxed applications will be accepted only if accompanied by MasterCard, Visa or American Express. Upon receipt of the application and deposit AARC will immediately send an invoice for the remaining 50% and place you in line for specific booth assignment. If a price adjustment is necessary once your assigned space has been confirmed by the Exhibits Coordinator, a final invoice will be sent or a credit issued.   Payment is due net 30. Checks should be made payable to AARC in US funds and drawn on a US bank.
    FOR APPLICATIONS RECEIVED AFTER NOVEMBER 1, 2006 Call the Exhibits Coordinator for specific remaining space availability. Full payment must accompany this application. Upon receipt of the application and payment AARC will finalize the specific booth assignment. Checks should be made payable to AARC in US funds and drawn on a US bank
  2. AARC will verify the credit history of both the applicant and any advertising agency authorized by the applicant prior to approval of the application. Past due balances for all parties must be cleared before assignment of 2006 exhibit space will be approved.
  3. Failure to maintain a current credit balance or failure to remit balance of the booth rental fee within the net 30-day terms will result in a hold on all services provided through the AARC and its subsidiaries and potential loss of reserved exhibit space.
  4. FINAL PAYMENT MUST BE RECEIVED BY FRIDAY, DECEMBER 1 OR YOUR COMPANY WILL BE DENIED ACCESS TO THE EXHIBIT FLOOR.

Cancellation Policy
Cancellations are effective only when received in writing by the AARC in Irving, Texas.

  1. With written notice of cancellation received by 5:00 pm Central Time on Thursday, August 31, 2006, exhibitor can cancel without penalty.
  2. With written notice of cancellation received after 5:00 pm on Thursday, August 31, 2006, and prior to 5:00 pm on Tuesday, October 3, 2006, exhibitor is liable for and agrees to pay AARC 50% of assigned booth rental fee.
  3. With written notice of cancellation received after 5:00 pm on Tuesday, October 3, 2006, exhibitor is liable for and agrees to pay AARC 100% of assigned booth rental fee.

Failure to maintain a current credit history can result in suspension of all services from AARC and its subsidiaries.
