“It’s happening in Vegas” and it’s happening at the 52nd International Respiratory Congress. The host city this year is Las Vegas, Nevada, USA. The annual convention and exhibition of the American Association for Respiratory Care will be held December 11–14, 2006 at the Las Vegas Convention Center.

Exhibit installation must be completed by Sunday December 10, 2006, at 5:00 P.M. The AARC and the official service contractor, Freeman Decorating, may, without incurring any liability for damage or loss, install property of any exhibitor who has failed to do so at the sole expense of the exhibitor.
   
Dismantling Hours
Wednesday, December 13 04:30 P.M.–8:00 P.M.
Thursday, December 14 08:00 A.M.–12:00 noon


A 30-minute interval exists between the show closing at 4:00 P.M. and dismantling at 4:30 P.M. This interval allows the attendees to clear the hall and for the aisle carpet to be removed so that empty crates can be returned to the floor.

Any exhibiting company dismantling before 4:00 P.M. on Wednesday may lose priority points and/or not be allowed to exhibit at any future meetings.

Housing/Suite Reservations
The AARC has designated a housing bureau to process requests for sleeping accommodations and hospitality suites. Necessary forms will be mailed under separate cover, along with a map of the hotel location, rates, and types available. Please return your completed form directly to the Housing Bureau address and not to the AARC office. A written acknowledgment will be sent directly to you from the Housing Bureau. You will not receive a confirmation from the hotel.

Meeting Room Reservations
An exhibiting company may hold company meetings, or meetings at which convention registrants are invited, during the AARC annual meeting. Exhibitors may use any avenue they wish to invite attendees, and there will be no fee required to attend those meetings. Meeting rooms at the headquarter hotel will be assigned through the AARC on a first-come, first-served basis. Please submit a written request to the Exhibits Coordinator containing the date, time, purpose of proposed function, and number of anticipated guests. An answer will be sent to you and copied to the headquarter hotel releasing the meeting room space to your firm. Thereafter, you will deal directly with a representative from the hotel.

The AARC will not grant authorization in the convention hotel for exhibitor-sponsored meetings involving registrants on Monday–Thursday, December 11–14, from 8:30 A.M. to 5:00 P.M. Authorization will also be declined for any company-sponsored functions on Monday, December 11 (8:00 P.M. to midnight), Tuesday, December 12 (7:00 P.M. to midnight), and Wednesday, December 13 (7:00 P.M. to 11:00 P.M.). Those dates and times are reserved for AARC functions involving all attendees at the convention.

Announcements/Flyers/Etc.
Exhibitors who wish to insert announcements, flyers, or similar materials in the attendees' registration bags may mail or fax a request to the AARC, Annette Phillips, Exhibits Coordinator, 9425 N. MacArthur, Ste 100, Irving TX 75063, aphillips@AARC.org, phone 972-406-4653, fax (972) 484-2720.

Security
AARC will provide security in the exhibit hall on a 24–hour basis from the first day of installation of exhibits through the last day of dismantling. Entrance and exit of workers, attendees, and exhibit personnel will be strictly monitored. Despite these precautions, however, neither the AARC nor the Las Vegas Convention Center can assume responsibility for loss of, or damage to, exhibitors’ property. Exhibitors are encouraged to take precautions to protect their own property and to arrange for appropriate insurance against loss.

Property Removal Passes
Property removal passes will be required for any equipment or materials being removed from the exhibit hall. Blank passes are available from the Freeman Service Desk. Identification will be required. The completed pass must be turned in and verified prior to removal of the property from the exhibit hall.

Free Listings
Once your booth assignment is confirmed, a free listing of your company name will appear in all AARC publications promoting the Congress, including:

Exhibitor Service Manual
Projected mailing date is September, 2006. All of the forms from the independent contractors used during the show will be included. Please direct any questions to the contact and telephone number indicated on the individual forms.

Official Service Contractor
Freeman has been designated as the official service contractor for the 52nd International Respiratory Congress. Customer service representatives will be available at the service desk to answer questions and process orders beginning, Saturday, December 9 at 8:00 A.M.

Non-Official Service Contractors
Non-official service contractors must return a completed Work Authorization Form to the AARC by Friday, December 1. Forms will be included in your Exhibitor Service Manual.

Continuing Respiratory Care Education (CRCE) Credit
Exhibitor badges do not allow continuing education credits to be automatically documented. However, an AARC member who is registered as an exhibitor may receive CRCE credit. Details will be provided to the booth manager(s) at the onsite registration desk.

Free Access to the Exhibit Hall
Free access is available on Wednesday, December 13, from 11:00 A.M. until 4:00 P.M. This time is allotted for distributors, clients, students, account representatives, friends, acquaintances and others to visit the largest respiratory care exhibit hall in the world. Individuals who wish to visit prior to this time will need to register for a one-day or three-day badge.
